Claudio Romero Organization for Minority Empowerment ("CROME", "we", "our", "us") operates the CROME Scholarship Program. This policy explains what information we collect, how we use it, and the choices you have.

Information we collect

  • Account details (name, email) collected during signup/login.
  • Application data you provide (essays, academic history, financial info, uploads).
  • Usage data (log events, device/browser metadata) for security and reliability.

How we use information

  • Evaluate scholarship applications and communicate about application status.
  • Provide account access, drafts, and saved progress.
  • Protect the service (fraud prevention, security monitoring, abuse detection).
  • Meet legal and compliance obligations.

Sharing

We do not sell your data. Sensitive information like this is used only for scholarship review by the committee. It is encrypted at rest (AES-256-GCM) and in transit. We share information only with:

  • Scholarship committee members.
  • Service providers (e.g., hosting, email, storage) bound by confidentiality.
  • When required by law, regulation, subpoena, or to protect safety and security.

Data retention

Application data is retained for program administration, audit, and compliance. Account data is kept while your account is active. You may request deletion of your account; some records may be retained as required by law.

Your choices

  • Update your account info from your portal or by contacting us.
  • Request access, correction, or deletion of your data (subject to legal requirements).
  • Unsubscribe from non-essential emails via the link in the message.

Security

We use encryption in transit and at rest (AES-256-GCM for sensitive fields), access controls, and monitoring to protect your data. No system is perfectly secure; please use a strong password and keep your account credentials confidential.

Children

The program is intended for students applying for scholarships. If you are under 18, provide parent/guardian contact info where required.
