Claudio Romero Organization for Minority Empowerment ("CROME", "we", "our", "us") operates the CROME Scholarship Program, a 501(c)(3) nonprofit program based in Ennis, Texas. This policy covers scholarships.cromenonprofit.org. It explains what information we collect, how we use it, who receives it, and the choices you have. We use your information only to run the scholarship program. We never sell it, rent it, trade it, or use it for advertising.
Information we collect
- Account details: your name, email address and password (stored only as a one-way hash).
- Contact details: phone number and home address.
- Application content: school and academic history, activities, essays, and the documents you upload, such as transcripts and résumés.
- Financial information you choose to report: expected family contribution, cost of attendance, other scholarships, and work income. We do not ask for Social Security numbers or bank or card numbers.
- Demographic information: gender identity, citizenship status, and, if you choose to answer, race or ethnicity and whether you are a first-generation student.
- Contact details for the people you name: your references and, if you are under 18, a parent or guardian.
- Email address only, if you ask to be told when applications open.
- Technical data: IP address, browser type, and security and error logs, used to keep the service running and to stop abuse.
How we use information
- Evaluate scholarship applications and communicate about application status.
- Provide account access, drafts, and saved progress.
- Protect the service (fraud prevention, security monitoring, abuse detection).
- Meet legal and compliance obligations.
Data retention
Each application is marked for deletion two years after it is submitted, and CROME staff remove applications and uploaded documents that have passed that date. Award records we must keep for tax and audit purposes are kept longer. Account data is kept while your account is active. You may ask us to delete your account and application at any time; some records may be retained as required by law.
Your choices
- Review and update your profile and application from your portal at any time before you submit.
- Ask us what we hold about you, or ask us to correct or delete it, by emailing info@cromenonprofit.org.
- Unsubscribe from non-essential emails via the link in the message.
Security
We use encryption in transit and at rest (AES-256-GCM for sensitive fields), access controls, and monitoring to protect your data. No system is perfectly secure; please use a strong password and keep your account credentials confidential. If a security incident exposes your personal information, we will tell you without unreasonable delay, and within 30 days where the law sets that deadline.
Children
The program is for high school seniors and college students, so some applicants are 16 or 17. If you are under 18, please review your application with a parent or guardian; we ask for their contact details so we can reach them about your application. We use a minor's information only to evaluate and administer the scholarship, and a parent or guardian may ask us to show, correct or delete it. This site is not intended for children under 13, and we do not knowingly collect their information.
Changes to this policy
When we change this policy we update the effective date at the top of the page. Significant changes will be noted on this page for at least 30 days.
